How to see what your stock is worth
Value the stock you own at what your deliveries really cost, see which part is estimated, and download it for your accountant.
Selling › Stock value tells you what the stock on your own shelves is worth. It prices each unit from the deliveries you received against purchase orders in Tideswell, at what they cost to land. It sits beside the other stock pages covered in What is Inventory?.
Your workspace may use its own word for purchase orders; Settings › Terminology shows both.
The header says when Shopify last counted the shelf, such as "Stock as counted by Shopify 2h ago, priced from your own deliveries."
Before you start
You need:
- The Store and Purchase orders modules on. The Stock value row shows only while both are. See How to switch parts of Tideswell on and off.
- Your Shopify store connected. See How to connect your Shopify store.
- View purchase orders and the buying calendar, which starts at lead. The page is built from what each delivery cost, so it needs the same permission as seeing those costs. See How to set who can do what.
- Your own locations confirmed in the open-to-buy feed settings, as below. Confirming them needs Change stock, receiving and store settings, which also starts at lead.
What if the page asks which locations are yours?
Press Choose your locations, switch on your own locations, and confirm them. Until then the page reads Tell us which locations are yours first and shows no total.
Shopify holds stock at every location it knows about, including suppliers' shelves for dropship items and anything you hold on consignment. None of that is yours to value.
Choose your locations opens Buying › Data feeds › Open to buy. Press Feed settings, switch on each location you own, and press Confirm. The steps are in How to send your open-to-buy file to a buying planner.
What do the four tiles mean?
Together they split the shelf by how well each unit is priced:
- Stock value: the whole figure, proven and estimated together.
- Proven by your deliveries: units matched to a delivery you received in Tideswell with a cost, at that delivery's landed cost.
- Estimated at Shopify's cost: units no priced delivery of yours explains yet, priced at the single Cost per item Shopify holds for each one.
- Units we still cannot price: units with neither a delivery nor a Shopify cost. They carry no value.
Under the tiles, a short paragraph puts the split in sentences and names any products showing more received than is on the shelf. That usually means stock left without selling through Shopify, or a delivery was booked twice.
The same paragraph counts the units left out as not yours to value. Those sit at locations you have not claimed, are items Shopify keeps no real count for, or are ruled out by the marks in your open-to-buy feed settings.
How is a unit priced from your deliveries?
Tideswell starts from the count Shopify holds and matches it to your newest deliveries first. The oldest units sell first, so what is still on the shelf is the most recent stock.
Landed cost is the unit price plus the unit's share of freight and duty on the order. At Fairgreen Golf Co., 40 merino quarter-zips are on hand. The last delivery from Kaimen Knitwear brought 30 at $24.10 landed, and the one before brought 50 at $22.80.
The 40 are valued as 30 at $24.10 and 10 at $22.80, which is $951.00, or $23.78 a unit. A unit from a delivery booked without a cost is never valued at zero: it counts as estimated instead.
What does the table show?
One row per product, with the most valuable first. The columns are Product, On hand, Landed cost, Proven, Estimated and Value.
Under each product's name sit its supplier and how many variants it has, plus a count such as 3 not priced when some units carry no value. Landed cost is the blended landed cost of the proven units only, so Shopify's single cost never mixes into it.
Click a product to see each variant on the shelf, with the deliveries its units came from: how many units, the date received and the landed cost of each. A lot code and expiry date show where the delivery recorded them.
How do you make more of the figure proven?
Receive deliveries against purchase orders in Tideswell, with their costs filled in. Each delivery you book in moves the units still on the shelf from Estimated to Proven. See How to receive a delivery, or How to receive a delivery on your phone to do it from the iPhone app.
To price units in Units we still cannot price, receive them on a purchase order or enter a Cost per item for them in Shopify. See How to work out a restock cost and correct a stock count.
How do you search and download?
Type in Search products or suppliers to narrow the table. Download CSV saves the rows on screen, so search first if you want one supplier's stock.
The file keeps the proven and estimated parts in separate columns beside the total, so an accountant can see which part your deliveries prove. Its columns are:
- Product, Supplier and On hand.
- Units your deliveries cover, Units estimated, Units not priced at all and Surplus units.
- Landed unit cost (USD), Proven by your deliveries (USD), Estimated at Shopify cost (USD) and Total stock value (USD). The headings carry your store's currency.
