How to filter and save a list of products to watch

A list is a saved group of product variants you want to watch together: one season, one launch, the twelve items a wholesale account has committed to. It sits in the view menu on What is Inventory? (Selling › Inventory), under Your lists, beside the built-in views covered in How to choose a stock view and ranking window.

Lists belong to the workspace, so everyone who can open Inventory sees the same ones.

Before you start

You need two rows in Settings › Permissions, and both start at lead:

• See sales, inventory, reports and the daily brief, to open and read a list.
• Change stock, receiving and store settings, to build, edit or delete one. People without it do not see New list…, Edit or Delete.

Why would you want one?

Because the built-in views rank the whole catalogue, and sometimes the question is about a particular set of products.

Fairgreen Golf Co. keeps a list for its autumn drop. During launch week, one click shows those twelve items and nothing else, which is a different question from what is low across the catalogue.

How do you build one?

1. Open the view menu at the top left of the list and choose New list…. A box titled New SKU list opens.
2. Type a name in List name. Names can run to 80 characters.
3. Search in Search products or SKUs…. Products show before you type, so you can browse too.
4. Tick a product to take every variant, or press the arrow beside it to show its variants and tick them one at a time.
5. Press Save.

The box shows each product's SKU and Stock as you pick (a product with several variants shows how many it has instead), and a running count such as 12 selected. A product with some variants ticked shows a half-filled box.

Save works once the list has a name and at least one variant. The new list opens straight away and stays under Your lists in the view menu.

What does a list show?

The same columns as the ranked views: a status pill, Cover, In stock, Incoming, Reorder and Fill cost. The line above it totals what the list would cost to restock.

Does a list keep itself up to date?

No. A list holds exactly the variants you picked, so a new product in your catalogue does not join it.

That suits a launch or a season, which is a fixed set. For a set that grows with your catalogue, such as everything from Portside Mills, filter a built-in view by vendor instead: press the filter button beside the search box and choose under All vendors.

How do you change what is in one?

Open the list from the view menu and press Edit. The Edit list box works the same way as building one, so untick a variant to remove it.

Rename the list there too, then press Save.

How do you delete one?

Open the list and press Delete, then confirm Delete this list?. The page goes back to Top 100 by units.

The list goes for everyone in the workspace, so check with whoever built it first.

Can you link straight to a list?

Yes. The page address carries the view you are on, so copy it from your browser to send a list to Priya Raman or bookmark it for launch week.
