How to tag people, tasks, documents and products

Type @ in the message box in What is chat? and one menu opens covering everything in your workspace worth tagging. What you pick arrives in the message as a coloured chip that anyone reading it can click.

What can you tag?

Ten kinds of thing, searched together, each under its own heading: People, Documents, Tasks, Records, Editorials, Products, Collections, Customers, Channels and Dates.

Records are entries from your workspace's own Objects, such as a repair or a sample request. The Object's name shows under each one, so a repair called "Torn hem on polo" reads with "Repair" beneath it.

How do you open the menu?

Type @, or click Tag someone or something (@) beside the paperclip. Then keep typing to search. You can type across spaces, so "@priya raman" finds a full name without the menu closing.

Move with the up and down arrows and pick with Enter or Tab, or click with the mouse. The menu scrolls, and typing a few more letters is the fastest way to bring the right item to the top.

What happens to what you tag?

It becomes a chip, coloured by what it is, so you can read a message at a glance:

• Blue for people, @channel and records.
• Violet for tasks.
• Green for channels and customers.
• Amber for editorials, products and collections.
• Rose for documents.

Most chips show their colour in the box as you type. A record's chip turns blue once the message is sent.

What happens when someone clicks a chip?

Once sent, the chips are live:

• A task shows its title as a violet chip, and clicking it opens the task in Tasks.
• A document opens in Documents.
• A record opens that record's page.
• A channel opens that channel.
• A product or collection opens in Shopify in a new tab.
• A customer opens their card in place, with their details, without leaving the conversation. See How to find a customer and read their history.

The customer card needs View customers. Without it, the card says you do not have permission to view this customer.

Why tag instead of typing the name?

Because a tag turns a sentence into something the next person can act on.

"The merino quarter-zip is running low, can Priya look at it" is a message. The same message with the product and Priya tagged is one anybody can work from without asking which one you meant, and Priya is notified.

How do you notify a whole channel?

Pick @channel or @here from the top of the menu, marked "Notify everyone in this channel". Both do the same thing: everybody in the channel who has not muted it is notified.

Use them sparingly, because they reach everyone. Nobody is notified twice: someone who was also tagged by name, or who follows every message in the channel, gets one notification.

What are the date shortcuts?

Today, Tomorrow and In a week, each shown with its date. Picking one writes the date into your message as plain text, such as 2026-10-28.

It saves the most common confusion in a work chat: writing "Friday" and having half the team read it as a different Friday.

Where are the products?

Start typing a name and they appear. Products and collections join the menu once you type, which keeps the menu instant when it first opens.

Who gets notified?

Each person you tag, as long as they can see the channel and have not muted it. A tag never reaches someone who cannot see the channel, so a private conversation stays private. The menu only lists channels you can see yourself.

How do you ask the agent in chat?

Once an admin has added the agent to chat, it appears under People as Agent. Tag it in a message to ask it something. See How to add the Agent to chat.

Can you tag things outside chat?

Yes. The same @ menu works in documents and in comments on tasks and records. See How to find a document and link it to your work.

What does "@unknown" mean?

The chip could not be filled in, because what it pointed at can no longer be found. A person shows as "@unknown", and a product or customer as "!unknown".

A document renamed after it was tagged keeps its old name in old messages. The chip still opens the document.
