How to choose who gets an alert and how often

Pick recipients, add an email copy, set the threshold that triggers an alert, and stop it repeating too often.

Four controls sit on the automations that alert somebody: who it goes to, whether it also emails, what number triggers it, and how long it stays quiet afterwards. Pure upkeep jobs show none of them.

How do you choose recipients?

A checkbox list of everyone with store access, then Save recipients.

If you never touch the list, everyone with store access gets the alert. That is the sensible default for a small team and the wrong one past about a dozen people.

Leaving every box unchecked sends the alert to nobody, and the label says so. That is a legitimate setting when you want an automation recording what it finds without buzzing anybody.

What happens if a recipient loses access?

They stop receiving the alert, even though their name is still ticked in the list.

That is worth knowing when somebody says they have stopped being told. Check their store access before you check the automation, per How to work out who can do what in your workspace.

If nobody at all can receive an alert, the run is recorded as skipped with a note saying there was nobody to notify. The alert is not lost: it fires later once somebody can receive it.

What does "Also email" do?

Sends the alert by email as well as into the app.

Turn it on for the alerts somebody has to act on outside Tideswell, and leave it off for the rest. An inbox that fills with automated email gets a filter rule within a fortnight, and then the alert may as well not exist.

Emails go one per recipient. A failure is logged and counted, and never blocks the in-app alert, so an email problem cannot cost you the notification itself.

What is the threshold?

The number that decides when a watchdog speaks up, on the jobs that have one.

Alert threshold (orders) on the fulfilment backlog, and Alert on orders over ($) for notable orders. Press Save after changing either.

Set these to numbers that would genuinely make you act. A backlog threshold of five on a store that normally carries twenty unfulfilled orders produces an alert you learn to ignore, which is worse than no alert.

How do you stop an alert repeating?

Don't re-alert within (hours), then Save. It keeps a flapping figure from buzzing repeatedly about the same thing.

An alert suppressed inside that window is not lost. It fires as soon as the window clears, so the problem still reaches you, just once rather than forty times.

This is the control to reach for when an alert is too noisy. Switching the automation off is the blunt instrument; the re-alert window is the precise one.

Where do alerts actually arrive?

In each recipient's Inbox, and on their phone if they have notifications switched on.

Whether a phone buzzes depends on three separate switches: this automation, that person's own toggle, and their quiet hours. All three have to allow it.

Can somebody silence one just for themselves?

Yes, and that is usually the right answer rather than turning it off for everybody. Personal toggles live on each person's account page, per How to control task, stock and order alerts.
