How to send a revision and export an order

Once the supplier has told you what they can actually supply and you have recorded it, the revision goes back to them. That, and downloading the order, live in the ⋯ menu on the order page.

Before you start

Sending and exporting need write access. The ⋯ menu does not render at all when there is nothing in it for you.

How do you send a revision?

Send revision emails the supplier the order as a PDF and a CSV, with an optional note.

Before it goes, you see exactly who it goes to, what is attached, and the money change from the original amount to the revised amount. Read that money line: it is the last check before the supplier has it in writing.

Why is Send blocked?

Two reasons, both worth the block.

Lines without a confirmed quantity. The warning names how many are missing. A blank revised quantity would go out as zero, and zero reads to a supplier as "cancel this line", which is the most expensive typo in purchasing.

No vendor email on file. The dialog offers a shortcut straight into the vendor profile to add one. See How to add a supplier and record their terms.

Send is also unavailable on an order with no products.

How do you download an order?

Download PDF or Download CSV from the same ⋯ menu.

Use the PDF for anything that goes to a person and the CSV for anything that goes into a spreadsheet.

On an order with no products those rows are absent rather than greyed, because exporting an empty order gives you a blank file.

What is Create editorial for?

It builds a marketing planning item from the order's products, so what you have bought can become what you plan to promote.

What is the order's memory?

Alongside the products, an order carries comments and an activity feed, a decision recording why you placed it, and an outcome recording whether it did what you expected.

Recording the decision at the time costs a minute and is the only way the answer exists later. See What are decisions and track records?.
