# How to add an account and set payment terms



An **account** is one door you sell to. **Wholesale orders › Accounts** lists every one, with
its buyer, rep, payment terms and when it last ordered. Start at <Ref to="wholesale" /> for
how accounts and orders fit together.

## Before you start [#before-you-start]

Adding and editing accounts needs the wholesale account update permission. Viewing is a
separate dial.

## What do you fill in? [#what-do-you-fill-in]

**Account name**, **Account number**, currency, **Payment terms in days**, **Credit limit**,
standing discount, **Default order type**, buyer contact details, **Rep**, an
**accounts-payable contact email**, website, address and notes.

Three of them do real work rather than sitting there as reference.

* **Payment terms in days** is what produces an invoice's due date. Without it, an invoiced
  order lands in the **No terms agreed** aging bucket instead of a real one.
* **Default order type** pre-fills whether their orders are prebook or at once, which saves a
  decision on every order.
* **Rep** is who in your workspace looks after them, and it is how you split the book by
  person.

Account names have to be unique, ignoring case and surrounding spaces. A clash names the
record that already owns the name.

## What is the standing discount for? [#what-is-the-standing-discount-for]

Reference only. It is recorded on the account and **never applied to any line price**, and the
label on the field says so.

Enter the prices you are actually charging on the order lines. The discount field is a note
about the relationship, not a calculation.

## What does the accounts-payable email do? [#what-does-the-accounts-payable-email-do]

It records who to chase for money, which is frequently a different person from the buyer.

That one field saves a great deal of time when an invoice goes past sixty days, because the
person who placed the order is rarely the person who pays it.

## How do you find accounts that have gone quiet? [#how-do-you-find-accounts-that-have-gone-quiet]

The **Gone quiet** filter, meaning no order in the last 60 days, and **Never ordered**.

Accounts are listed oldest-last-ordered first, so the ones needing attention are already at
the top, with never-ordered accounts at the end.

**Gone quiet** is the most valuable screen in this section and the least used. A pro shop that
ordered every season for three years and has not ordered in two months has usually not decided
to stop; they have simply not been called. See

## What is on an account's page? [#what-is-on-an-accounts-page]

Its full order history, and a button to write a new order with the account already selected.

You can also comment on an account, link related records, and record a decision about it,
which is where "we gave them 60-day terms because they take the full size run" belongs. See
<Ref to="decisions" />.

## How do you stop selling to one? [#how-do-you-stop-selling-to-one]

**Archive** it. The account disappears from the new-order picker and its order history stays
intact.

Restore it from the same place when they come back.

## Why does a rep show as a dash? [#why-does-a-rep-show-as-a-dash]

Because either no rep is assigned, or the person who was assigned is no longer active in the
workspace. Both read the same way.

Reassign the account to somebody current, otherwise it quietly belongs to nobody and turns up
in **Gone quiet** three months later.
