# How to receive a delivery on your phone

**Receiving** in the iPhone app lets you book a delivery into Shopify standing next to the pallet.
Open the menu (the ⇕ button) and tap **Receiving**. Getting the app is covered in
<Ref to="phone" />.

The phone books deliveries against the same purchase orders as the web, so everything lands in the
same **Receipt history**. <Ref to="purchasing/receive-a-delivery" /> covers the web side, where
you also set costs, freight and the supplier's invoice.

## Before you start [#before-you-start]

You need **Edit purchase orders and the buying calendar** in **Settings › Permissions**, which
starts at lead. Giving stock back to Shopify when you undo a delivery also needs **Change stock,
receiving and store settings**, per <Ref to="workspace-admin/permissions" />.

Stock goes to the location set as **Receive to** on the order, which you set on the web.

## Which orders does Receiving show? [#which-orders-does-receiving-show]

Every order still waiting on goods: open orders that are not yet fully received. Each row shows the
supplier, the PO number, **Expected** and its date, and the order's stage.

An order that has already had part of its goods shows a **PART RECEIVED** badge. Pull down on the
list to refresh it.

## How do you count a delivery in? [#how-do-you-count-a-delivery-in]

Tap the order, count each line, then tap **Receive** and confirm. Every line starts at zero, so
only what you count goes into stock.

1. Tap the order in the **Receiving** list.
2. Count each product with its **Received** stepper, or scan barcodes as described below.
3. Tap **Receive** at the bottom of the screen.
4. Read **Book this delivery in?**, which says how many units go into live Shopify stock.
5. Tap **Yes, update Shopify stock**.

Each line shows how many are in so far and how many are still owed, such as **20 of 48 in** and
**28 owed**. The bar above **Receive** keeps a running total of units going into stock.

A **Delivery booked** summary confirms it, and **Done** closes it.

## How do you scan barcodes? [#how-do-you-scan-barcodes]

Tap the barcode button at the top right (**Scan a barcode**) and point the camera at each product.
Every scan adds one to the matching line's **Received** count, and the line lights up.

Tideswell matches the product's barcode first, then its SKU. A code that is not on the order says
so, and a code shared by two lines asks you to count that product by hand.

## How do you record damaged units? [#how-do-you-record-damaged-units]

Tap the warning triangle on a line (**Record damage**) to show its **Damaged** stepper, and count
the broken units there.

On the phone, count only the good units in **Received** and the broken ones in **Damaged**. Damaged
units are recorded on the order, never added to Shopify stock, and stay owed by the supplier.

## What if more arrived than the order owes? [#what-if-more-arrived-than-the-order-owes]

The line reads **More than this line still owes**, and a **More than the order still owes** switch
appears below the products.

Turn it on only if the extra really turned up, and **Receive** becomes available again. The confirm
window states how many units over the order you are booking.

## What does "recorded only" mean? [#what-does-recorded-only-mean]

Some products are on the order but not linked to a Shopify product, and those lines say **Not in
Shopify**. Their units are recorded on the order and their stock is not sent to the shop.

The bar above **Receive** counts these, together with damaged units, as **recorded only**. To send
them to Shopify, link the line on the web purchase order first, per
<Ref to="purchasing/receive-a-delivery" />.

## How do you add a note? [#how-do-you-add-a-note]

Type it under **Note** before you tap **Receive**, for example "Two cartons crushed, Portside Mills told". It is saved with
the delivery.

## How do you take a delivery back? [#how-do-you-take-a-delivery-back]

Find it under **Already booked** on the order and tap **Undo**. Use it for a delivery counted twice
or booked against the wrong order.

1. Tap **Undo** beside the delivery.
2. On **Take this delivery back**, type the reason under **Why**.
3. Leave **Put the stock back in Shopify** on to subtract those units from Shopify. Turn it off if
someone has already corrected the shop by hand.
4. Tap **Take it back**.

The delivery stays on the order, crossed through and marked **Taken back**. **Undo** shows while
the order is still open.

## What if a delivery did not reach Shopify? [#what-if-a-delivery-did-not-reach-shopify]

It shows under **Already booked** with an amber message saying it was recorded but did not reach
Shopify. Retry it from the order's **Receipt history** on the web rather than counting the boxes
again.

If the phone loses its connection while you book, tap **Receive** again. Tideswell recognises the
same delivery and never counts it twice.

## Does the phone follow the web's receiving setting? [#does-the-phone-follow-the-webs-receiving-setting]

For costs, yes; for quantities, no. **Settings › Receiving** decides whether web lines start filled
in, and the phone always starts every line at zero. Count what is in the box and only that goes in.

The cost choice on the same page, **Off**, **Last cost** or **Weighted average**, applies to a
delivery booked on the phone exactly as on the web. See <Ref to="purchasing/receive-a-delivery" />.
